[0:06] Hey there, and welcome to episode 11 of your fun and profitable online business. I’m Wendy Muzzy, a money coach and online business strategist, and I help women entrepreneurs ditch the stress and mind drama around their business. If you’re ready for business insights that actually work, without the fluff, you’re in the right place. Today, I’m sharing the top five business tools that have changed the game for me and my clients, making business way more efficient and definitely more fun. All right, let’s go. First, let’s talk about the reasons why the right tools matter. They save you time so you work smarter, not harder. They keep you organized so things don’t slip through the cracks and they help you make more money by streamlining your processes. The key is choosing the right tools that actually help, not just add more complexity. You don’t need all the bells and whistles because you might not be there yet. And that’s not helping your profit margins. So here we just want what we need to get the job done. All right, let’s get to the list.
Discover affordable (and often free) options that won’t strain your business budget
[1:10] Tool number one, Kit. They were formerly known as Convert Kit. I know a lot of people kind of go back and forth. I will always know them as Convert Kit. Maybe I’ll switch to kit one day in my brain. But if you hear me say convert kit and kit, those are the same things. This is for email marketing and automation. Now, if you don’t have an email list yet, now is the time to get one friend. Go make it happen. Kit makes it super easy to grow and nurture your audience. I love it because it’s simple to use and set up. Even people who are not techie have told me that. It automates emails, sequences, and lead magnets. And it helps me build relationships and sell without feeling pushy. If you’re not emailing your list consistently, schedule one email to send out this week. Even a simple check-in keeps you top of your mind. Keep in mind that email is one of the best ways to create consistent income. In fact, I’ve heard to expect to make $1 per month for every person on your list. Yes, this is different for everyone, and it depends on how you position your offers. But I think the idea is income growth comes with email list growth. And it’s important to keep those two connected. So please don’t skip this step. Tool number two, Trello. I use this for task management and project management. I also have another Google Doc or a Google spreadsheet that I use. You can find that at wendymuzzy.com slash plan. But then I used Trello for my big full projects and I keep all my content in there and it just really works well for me and how my brain works. Now, if you’ve ever felt scattered, overwhelmed, or like there’s too much on your to-do list, you need a system to get organized. Trello is my go-to. I know some people use ClickUp or Asana, but I’m a Trello kind of person. I like it because it’s easy for me to visualize my projects. Everything’s on a card. I can have different graphics behind it. I can have different cards on different lists, and it just works really well for me. It gets everything out of my brain and into one single place. My links are there, my colors, my taglines, my logos, you name it. It’s all in Trello.
Understand how proper tool implementation reduces entrepreneurial stress and mental drama
[3:15] It helps me plan my content, track my offers, and manage my projects. and I can share them. So there’s certain people who work on different projects and I can just share the Trello board and we can do what we need to do on there. And it also reduces stress because I always know what’s next. I know where things are and I know what’s next. I know some business owners create a weekly CEO day to map out their top priorities in Trello or Asana or ClickUp. I don’t. I use my four-time blocks to set myself up for success. You wanna know more, go check out episode three. But however you do it, set time aside and keep moving the needle forward with whatever project management system you have, because a clear system means less stress and more progress. And that’s really important. All right, the third tool is Canva. And now this is for easy professional graphics. If you’re not a designer, no problem. Canva can help you. It makes creating graphics for your business super fast, I think really easy and mega fun. I love it because it has tons of pre-made templates. You can use them for social media, presentations, PDFs, whatever. And you don’t need design skills. You can just drag and drop and make things happen. And it saves so much time when you’re creating content and branding materials. It’s super easy. I think your business should look polished without spending hours designing, and Canva can make that happen. Now, here’s a tip. You can create branded templates, let’s say for Instagram, and you can create it. You can just plug in your content, and then you can just continue on. You don’t have to start from scratch every time. That’s another really nice thing about Canva. All right, tool number four, TidyCal. I’ve had other calendar apps in the past. I have loved TidyCal. It’s a one-time fee. It’s really great. It’s simple. It’s affordable. and it makes scheduling seamless. So if you’re tired of the back and forth, hey, are you available here? Are you available here? Blah, blah, blah. No, it’s time to get a meeting app and make it happen. Tidy Calizet. It’s my go-to scheduling tool. So here’s why I love it. It’s really affordable. I like the one-time fee, makes it done and out the door. It integrates with your calendars so you don’t do double booking so you can avoid double booking. And it lets people directly book from your website or email so you can embed the content anywhere. And it’s customizable for different types of sessions. Like I have some brainstorming sessions, I have some coffee chats, I have some different things and it’s all customizable based on the meeting that I set up. So whether you wanna do free discovery calls or paid sessions, you can use a scheduling system like TidyCal and it takes out all the extra steps. This tool alone has saved me so much time and so much stress and it’s one of the behind-the-scenes helpers that makes everything run so much smoother. All right, tool number five, I’m going to promote YNAB every chance I get, but YNAB for money clarity. It stands for You Need a Budget. Couldn’t go through a list without some sort of money reference. Welcome to my world. But YNAB is one of the most powerful tools for financial clarity. You can use it for your personal budget. You can use it for your business budget, whatever you need. You can create different budgets within there. And it’s just super, super easy. It helps me plan so I can see what I actually have, not what I’m going to get. But I use, they have different philosophies, but I use the dollars that are in there, not the projections. It shows me exactly where my money is going so I can make smart decisions. I go in every morning, allocate money to the right categories, and in and out the door, things are easy. It reduces stress because I always know what’s covered. And it encourages intentional spending, which I think is really important for business owners to be very intentional with their money and with our income, both ways. I use it to track income from my offers. I use it to track income from my consulting, from my coaching, wherever it’s coming from. And it allows me to set the money aside for taxes, business savings, whatever it is. So I highly recommend it. It also takes the emotion and stress out of the money and it gives you control. When you know your numbers, you can actually make confident decisions and not just emotional ones. So that’s what really makes your business fun and profitable if you ask me. [7:43] All right, it’s time for your action step for today. I want you to pick one tool to implement or optimize this week. If you’re not emailing your audience, set up Kit. I actually have a Trello board for all of my Trello boards, which I went a little bit deep, but it has been an absolute game-changer for me. If your branding is all over the place, go set up some Canva templates. Again, it’s free. If you get pro, you get some added upgrades and some templates and some images, but you can start for free. If you’re struggling to set up your appointments, go get TidyCal. Right now, I think it’s less than $40 for lifetime access. You can accept payments. You can integrate it with your calendars. It’s great. And if you need some help tracking or personalizing your business expenses, tracking your personal or business expenses, go set up YNAB. It’ll be your best friend. I think you can get a month for free. Maybe it’s even like 31 days for free so you can try it for a whole month. I don’t know exactly, but I’ve got it and I haven’t looked back. I love it.
