I’m Wendy Muzzy, a money coach and business strategist, and I help women entrepreneurs stop overcomplicating things and start taking action. Today, we’re tackling something that every entrepreneur faces is that feeling of overwhelm. Or as I often hear, it’s like being on a hamster wheel and not getting anywhere. Today, we’re breaking down the real root causes of business overwhelm without shame or judgment, and talking through clear ways to move forward with focus and of course, more fun. Let’s get to it.
Understand why overwhelm is a signal, not a sentence—and how to interpret what it’s telling you
[0:41] Let me start off by saying that overwhelm isn’t because there’s too much to do, despite how it may feel. Argue with me if you want, that’s okay. But it’s not because there’s too much to do. Sometimes it’s because you’re doing too much of the wrong stuff. Or it’s because there’s a lack of clarity. Or maybe it’s a mindset loop that’s running in the background. Whatever the case is, it’s not because of what’s on your to-do list. Now, I don’t know about you, but I was sold this idea that stress was just the price of ambition in my 20s. The busier I was, the more successful I felt. But here’s the truth. I’ve learned this throughout the years. I can be incredibly successful without being stressed and overwhelmed. In fact, I would argue that my business is significantly more impactful and successful without it. Because there I’m clear, I’m focused, and I’m grounded, and I make better decisions. I follow through on more of what matters, and I stop burning energy on things that didn’t need my attention in the first place. Now, let’s break down the big areas of overwhelm that I see again and again with clients today. Number one, being unclear on what you’re selling and who you’re selling it to.
Learn the three root causes behind most entrepreneurial overwhelm
[1:56] If you don’t know what you’re selling or who it’s for, you’ll overthink everything. I promise. It’s simple. Should you post this? Should you say that? Should you be on Instagram? Should you be on YouTube? Should you do lives? Whatever those shoulds are, are because you’re not clear on who you’re helping and who you’re serving. And you’re not talking to your clients to see what they need. It’s like, I tell people this all the time. It’s like trying to dress for a party when you don’t know if you’re going to a pool party or a black tie event. Like, those are two big different things. So you have to be clear on what you’re preparing for so you’re making sure you show up the way you want to show up. I don’t want you to end up exhausted or second guessing everything and creating a lot of mind drama in the process. All right, number two, reinventing the wheel with every email, every post, or every launch. When you’re here, overwhelm and burnout are inevitable. You’re using your creative energy on repetition instead of like results. Now, something as small as having a plug and play email template can shave hours off a month. I’ve talked about this in previous episodes. You can use your signature line as a template. Just put it out the door. And this is the stuff that actually frees up your brain for what makes your business move forward, those needle movers. And number three is what I call the idea avalanche. This is when you have too many ideas, including those that AI gives us, without a process to evaluate and organize them. And this leads to overwhelm and chaos. Look, you can be an idea person. I am too. I get it. But we need to still have structure to process those ideas. Your brain needs like parking spots to put them. Otherwise, every idea feels like a task, and every task feels urgent. And that is the fast track to freezing. All right, Let’s get to the root of these three areas. They generally stem from three areas. Number one is lack of clarity. This is where you’re not sure what to focus on or what matters most or even who you’re talking to. And this shows up as overthinking, second guessing, and spinning in circles. Number two, too many inputs, not enough systems. This is when you get buried in ideas, advice, or decisions, and you haven’t built the structure to manage them. And without these containers, everything feels urgent. And without systems, everything feels heavy. Number three, unhelpful mindset loops. Maybe this is perfectionism or thinking you have to do it right the first time. But I think of them as like the sneaky stories that quietly eat away at my energy. And once you name the stories, you’re setting yourself up to start breaking the patterns. You can interrupt it and break that pattern.
Discover actionable techniques to create immediate relief without a complete business overhaul
[4:37] Now let’s talk about how to address your overwhelm in a way that moves you forward. We’ve talked about why it’s there, how it shows up. Now let’s move forward. I’m going to start off by saying you don’t need a total overhaul. You just need a few simple shifts, one at a time. If you’re feeling overwhelmed, even as you’re listening to this, here’s your quick start list. Pick your top three priorities this week and only focus on those. Seriously, just three. You can write them on a sticky note. you can put them in your planner, but the point is, is to limit the menu. When everything’s a priority, nothing is a priority. Three is enough. In fact, three is plenty. I’m going to go into a quick story real fast. My husband and I use this approach at our house, especially with our property. If you followed me for a while, you know we live on 35 acres. And let me tell you, there’s always something to do. There’s a big pond that needs work. There’s land that needs clearing, and there’s animals and plants that need tending to. I used to feel overwhelmed here, like there were so many projects and so many moving parts. But now, my husband and I picked just three things to focus on at the start of each week. And when we do that, we’re making progress. Sometimes we get more done than we planned. All right, back to the list. Next, create a space to put your ideas. A Trello board is my go-to, or you can use a notebook or a Google Doc. Whatever you use, think of this as your idea parking lot. Get those ideas out of your brain and on to something external. This is truly where clarity begins, I promise you. Another option is to batch or systematize just one thing, just one. Maybe it’s emails, content, or invoicing. Whatever’s causing you the most stress, create a system so you take yourself out of the equation and things get done. For example, if client onboarding always stresses you out, let’s just say someone commits, you do the call, they commit, and then you don’t send anything to get it moving forward, you’re the problem here. Get a system to get yourself out of it. Set up a simple, welcoming three-email sequence and create a checklist that you can just go down and just check your things off. That way, every client gets the same joyful welcome and you don’t have to recreate it every time. All right, finally, and maybe most importantly, ask yourself this question. Is this business really mine? So often, we carry goals or tasks that don’t even belong to us anymore. Maybe it’s the offer you created because a coach said it would sell. Or the launch strategy you copied because it worked for someone else. Or it can even be the social media schedule you hate but feel like you should be doing it. Release it. You’re allowed to evolve. You’re allowed to change direction and you’re allowed to build a business that fits you. This last one hits home for you. Go audit your calendar for those sneaky time wasters or energy drains. I promise you, not everything on your schedule is necessary. As you do this, be honest with yourself. Even if it’s something you think you should do, if it’s not aligned, it’s worth rethinking. I’m giving you a permission slip to build your business your way. Because how you feel about your work will directly impact your profitability. All right, let’s get to your action step for today. I want you to pick one of the quick start ideas that I just talked about to address your overwhelm. Just one. If you’re not sure where to start, try the top three priority list. It’s a total game changer. If three feels overwhelming, just sit and ask yourself, what’s my next best step? Just one step then. You don’t have to solve your problems today.
